Administration Supervisor /行政主管
职位描述
I. GENERAL DESCRIPTION总述He/She is responsible to manage the administrative related tasks of the company, closely cooperating with other departments to achieve the efficient usage of company’s public resources under effective control.
他/她负责管理行政类的事务,密切和各个部门合作以有效的使用公司的公共资源并加以管理和控制。
II. SPECIFIC DESCRIPTION具体职责
DAILY OR CONTINUOUS FUNCTIONS日常或持续性的职责
1. In accordance with company’s culture to build the company’s interior and external environment and maintain the unified image of the company in public.
根据公司的企业文化管理公司的内部和外部办公环境,建设和维护公司的整体对外形象;
2. He/She elaborates the annual working plan, describing projects, activities and investments, including into the organization necessary elements like: equipment, materials, employees, systems, etc.
制定职责范围内的详细的工作计划,描述项目、工作内容和预算,包括构成要素如:设施、材料、人员和系统;
3. He/She administrates the legal documents of the company to make sure those documents are kept well and being used under supervision; He/she keeps regular contact with the governmental organizations to be informed with the latest requirements and performs the updates and alternation of the legal documents as requested.
管理公司在中国政府机构登记的法律文件,妥善保管和有效监督这些文件的使用;和被管辖的行政机构保持联系,了解相关制度、办理需要变更、更新的文件的法律手续。
3. He/she works out and maintain the clearly, rationally and efficient working procedures within the defined responsibilities and leads the team to cooperate actively with other departments;
在既定的职责范围内制定清晰、兼顾合理和有效率的流程,领导行政人员团队的工作,以积极配合各部门的工作;
4. He/she administrates the budges of stationary, uniform and work protection stuff as well as control the application and keeping of them. He/she also involves in purchasing of such stuff to control the administration costs.
管理公司全部办公用品、工作服、劳保品等的预算、保管、申领,参与办公用品的采购,有效的控制办公室的成本;
5. He/she keeps the company’s tamp to make sure it’s used properly and correctly.
管理和控制公司公章的使用,确保正确、恰当的被使用;
6. He/she administrates the cars and shuttle buses of the company by deploying the application, recording, planning and maintenance to provide the transportation services for the other entire department under the principle of costing controlling and effective usage.
管理公司的车辆和班车,负责管理车辆的计划、使用、维护和记录为各个使用部门提供服务,兼顾控制成本和有效使用的原则;
7. On behalf of the company to contacting outside organizations on administrative related issues and settle the visitors of the company as well as managing the travelling plan of the employees.
负责代表公司对外就行政事务接洽和安置来访人员事宜,管理公司员工差旅行程计划;
8. He/she manages the public resources and facilities to make sure those resources are used effectively and applied and maintained well.
管理公司的其他公共办公资源和设施,确保这些资源被有效的利用、使用、维护和管理;
9. He/she is responsible of the access management of the company by elaborating corresponding procedures and policies.
负责管理和实施公司的安全出入管理,制定和完善相应的制度和流程;
10. He/she works closely with HR department to elaborate the company’s culture propaganda plan and periodically organizes and implements such an action.
密切配合人事部,制定长期的企业文化的宣传计划,定期组织各类宣传活动;
11. He/she works closely with HR department to managing the canteen of the company to set-up and maintain the standard of stuff meal and control the costs and usage.
密切配合人事部,管理员工餐厅,建立和维护员工餐的标准和质量,控制成本和使用;
12. He/she cooperates closely with HR department to organize the training and participates in training implementing and supportive activities.
密切配合人事部参与组织员工培训,参与执行培训计划和管理后勤工作;
13. He/She assigns responsibilities to the people that reports directly to him/she and delegates enough authority in order to complete their duties.
他/她安排下属的职责并且在工作上给予足够的授权,提供培训、指导和给予工作技能考核;
14. He/She guides his/her employees in their goal achievement, suggests and discusses methods, and procedures for problem solving.
他/她指导下属的工作达到既定的工作目标,给予建议和讨论工作方法,并提供流程来解决问题
III. POSITION SPECIFICATIONS职位要求
1. ACADEMIC LEVEL教育背景
· BS degree or above, major in administration, management, public relationship related.
大学本科学历或以上,行政类、管理类、公共关系相关专业
· CET 4, familiar with English as working language for speaking, reading, writing and working .
英语四级证书,可以熟练使用英语做为工作语言进行读、写和流利口头交流。
2. SPECIFIC TRAINING COURSES培训要求
· Communications, Human Relations and Personnel Administration沟通、人际关系和人事管理
· Computer programs of general and specific usage常用软件和特别软件的使用
· Strategic Organization planning策略或组织计划
3. REQUESTED EXPERIENCE AND ON THE JOB TRAINING工作经验要求和在职培训时间
· 3.1. Needs at least 5 years of experience in similar position
至少2年在类似职位上的工作经验
· 3.2. Needs from 3 to 4 months of training.
需要3-4个月的在职培训
